Cancellation Policy
Purpose
This policy outlines the financial obligations incurred by the client in the event of project cancellation at various stages of the engagement. The charges reflect costs associated with resource allocation, logistics, and labor.
Cancellation Charges
Charges apply as follows, based on the total agreed contract value:
- 30% Cancellation Fee
- Trigger : Upon confirmation of the project with a signed Purchase Order (PO).
- Reason : Covers administrative costs, initial resource allocation, and planning.
- 50% Cancellation Fee
- Trigger : After delivery of equipment/materials to the site.
- Reason : Accounts for logistics, transportation, and handling costs.
- 80% Cancellation Fee
- Trigger : Upon commencement of installation/implementation works.
- Reason : Reflects labor mobilization, specialized personnel, and project progress.
- 100% Cancellation Fee
- Trigger : After completion of all work as per the contract.
- Reason : Full payment is due as services have been rendered and finalized.
Exceptions
- Force Majeure : Cancellations due to unforeseeable circumstances (e.g., natural disasters, pandemics, government actions) may be reviewed case-by-case. Documentation is required.
- Mutual Agreement : Adjustments to fees may apply if both parties agree to revised terms in writing.
Process for Cancellation
- Written Notice : Cancellation must be submitted in writing (email or official letter).
- Invoice Issuance : The applicable fee will be invoiced within 5 business days of cancellation.
- Payment Terms : Outstanding fees are due within 15 days of invoice receipt.
Additional Costs
- The client is liable for any third-party expenses already incurred (e.g., subcontractors, permits, or custom materials).
Agreement
By signing or Accept The Purchase Order or Contract, the client acknowledges and agrees to these terms.
